General Conditions
Tariffs
All prices are quoted in US Dollars and subject to change without prior notice and unless otherwise noted includes English and Spanish speaking guides. For guides in other languages special prices will apply, please request a quote.
ALL PRICES ARE NET AND PER PERSON, except where indicated to the contrary.
Reservations
All reservations shall be made in writing by fax or by e-mail and will be answered in the same way in a maximum of 24 hours. If there is no availability in the Hotel chosen or for any other requested service, you will be informed and given other options. We do not accept reservations by telephone.
Confirmations
All confirmations will be made in writing with a Proforma Invoice indicating payment due dates.
Payments
All FIT Passenger services shall be paid in full prior to the arrival of the passengers in accordance to the instructions indicated on the confirmation.
Due to the requirements of domestic airlines and small resorts in Bocas del Toro and Kuna Yala, payment for these services must be made in order to maintain the reservation. It is therefore extremely important to follow the payment instructions as indicated on the confirmation so as to avoid having these services cancelled.
FULL PAYMENT FOR ALL SERVICES MUST BE RECEIVED FOR ALL SERVICES PRIOR TO THE PASSENGER'S ARRIVAL IN PANAMA TO ENSURE THE CORRECT SERVICE.

The agent purchasing our services should send by fax to our offices, a copy of the bank transfer with the seal of the bank. The full payment for groups should be made in accordance with the date as indicated on the Proforma Invoice.
Payments made by credit card will have a surcharge of 3.5% added for handling. We accept Visa, MasterCard or American Express. Please complete the attached form if paying by credit card.
Payments made by bank transfer for less than $4,000.00 will incur a bank charge of $30.00.
Cancellations and No Shows
Cancellations and no-shows will incur a charge equivalent to one night's hotel, transfers and the cost of all reserved and prepaid services for which we cannot obtain a refund.
On group reservations the cancellation charges for all or part of the agreed upon schedule will be as follows:
More than 30 days notice – costs involved for all reserved and prepaid services for which we cannot obtain a refund plus a service charge of $100.00
15 to 30 days notice – 50% of the total price
Less than 15 days notice – 100% of the total price
Changes to Itineraries
Once all services have been confirmed and the Proforma Invoice has been accepted, any changes to reservations or services will be subject to a $25.00 processing fee per booking plus any cancellation, or change fees, incurred by the supplier. Also if a reduction in the number of passengers, changes to flight arrivals, etc. will affect other passengers, we will requote all services that are affected by the change.
Insurance
All transport that we use have insurance as required by law, on the excursions we also carry limited additional insurance in case of accident. On specialized tours we contract insurance services and apply these charges at cost.
Some higher risk tours require that participants sign a Waiver of Responsibility.
We recommend that all passengers carry travel insurance.
Claims
It is expressly agreed, that once the services have been supplied, that the client agrees and accepts that they waive their rights for any claim or refund through their bank and credit card company.
In case a service was not supplied as an agreed service, then the client is entitled to make a written claim for that service for which the client has paid. This amount shall be refunded without bank charges being implied on the amount in question.
Should the client be dissatisfied with any part of the schedule as paid for and agreed to, then the client must inform immediately the local Experience Panama office. If the client and Experience Panama and the supplier of the service booked and paid for cannot find a solution, then a report must be written and signed by the client, Experience Panama , and the supplier outlining the complaint in detail. This will be then passed to the Wholesaler by fax within 24 (twenty-four) hours, and the Wholesaler will then contact the client directly and settle in an agreeable manner, which will be signed and agreed between the two parties accordingly.
Vouchers
Passengers should arrive with their correct vouchers in the name of EXPERIENCE PANAMA indicating all contracted services.

Luggage
The porterage of one (1) piece of standard sized luggage per person is included in the quotation. Large baggage or more than one piece, surf boards, bicycles or similar pieces, may be transported without charge, only when there is space available, otherwise they will incur a surcharge which must be paid by the client directly.
The luggage allowance on domestic flights to Bocas del Toro, Kuna Yala (San Blas) and Contadora is 25 pounds per passenger. For David, 35 pounds is allowed.
Excess baggage to Kuna Yala, David and Contadora is charged at $0.25 per pound and for Bocas del Toro at $0.47 per pound.
Gratuities Only when requested by the Hotel do we include gratuities for bellboys and/or room maids and this will be indicated on the confirmation.
Taxes and Airport Departure Tax On all purchases made in stores, supermarkets, etc. a value added tax of 5% will be added, except on food and medicine.
There is a departure tax of $20.00 that is to be paid in US dollars in cash by all passengers at the time of check-in at the airport. Please ensure that your clients have this money available.
Responsibility
This program established between EXPERIENCE PANAMA and the Operators for one part and the Hotels, Airlines and other services in general, for which it is established that EXPERIENCE PANAMA cannot be held responsible for any error or omission on any service that is not under its direct control.
The services and times are subject to change with no prior notice, but at all times the Operator will try to accommodate the passenger.
All contracted services that are not used voluntarily by the passenger will not be reimbursed.
We cannot be held responsible for any robbery, loss of baggage, documents or anything else of value, this is the sole responsibility of the passenger.
We offer to the passengers only and exclusively the indicated services on these programs and nothing else is included unless expressly indicated.
We will not be held responsible for any loss, delay or any other event caused by a natural disaster, riot, strike or any other event that hinders in whole or in part any of the contracted services.
